Set up Printing on Windows

How to setup your Windows PC to print to a CSE printer

The following steps illustrate how to connect windows XP/2000 to our networked printers. This installation requires either the XP or 2000 installation disk, so that the LPR unix print services can be installed.

Install Correct Printer Drivers

Before you attempt to install the printer you must make sure you have the latest drivers for every printer you expect to use. Please take the time to ensure that the correct drivers are installed on your machine. You can download the drivers directly from here:

Run the driver application from the desktop. An InstallShield Wizard assists in loading drivers.

You must specify a location to save printer drivers. The default is a good choice. Please read and agree to the license agreement.

From the Setup Options screen, select Custom install, click Next. Select Local computer from the Custom Setup screen, click Next. The componenets to be installed are Printer Drivers, which are selected by default, click Next. Select the required printer(s) from the list. Drivers that are used within CSE include:

Printer Type Print Queue Physical Location
HP Color Laserjet 4600 cse1 Phys/Geo 534
HP Color Laserjet 4600 cse2 Phys/Geo 532
HP Laserjet 2300dn cse3 MSB 1227

Setting up LPR: Install LPR Component

Insert your windows install cd (XP or 2000). Select the Start menu then the control panel. Select Add or Remove Programs. On the left hand side of this menu, select Add/Remove Windows Components. Windows will ask you to wait for a moment then the Windows Components Wizard will appear.

Scroll down the list of components until you reach Other Network File and Print Services. Check the box and click Next. Windows will then install the component and ask you to select finish .

Using LPR: Create LPR port

In the following example, we will setup the qps printer. The same instructions apply to the rest of the department printers. To add one of the other printers, the printer name is different, and the driver used will be different (see table above).

Now that you have the printer drivers and LPR installed, you can install a printer. Select the Control Panel from the Start menu, then continue to Printers and Faxes. Select Add a printer from the menu on the left side of the screen. Welcome to the Add Printer Wizard! Continue by clicking Next.

You are connecting to a Local Printer Attached to this computer. Do NOT check for automatic detection. Continue by clicking Next.

Now we want to create a new port. Select Create a new port. Select LPR Port in the Type of Port pulldown menu.

To install the printer, fill in the options as follows:

  • Name or address of server providing lpd: print.cse.ucdavis.edu
  • Name of printer or print queue on that server: cse1

On the next screen, you will be asked if you would like to Replace Existing driver? Always choose to keep the existing driver, which is recommended by microsoft, and by your system administrator. Click Next.

Name the printer. Our standard is to use the printer name, as well as the server that is hosting the printer, cse1 on print.cse.ucdavis.edu. Decide if you would like the new printer to be the default printer.

Print a test page to make sure that the printer works.

Finally, select Finish.
